SMEE’s Annual General Meeting


Dear Members,


We’re coming to the end now of another term for SMEE, which means it’s time for some more goodbyes and hellos at our AGM.


Whether you joined in on our events—our industry nights, workshops, little hangouts, or our recent Robot Building Competition; hung out in the ECSE common room; or kept our Discord server buzzing a bit, I’d like to thank you for your involvement in the club this past year. It’s been special ⚡⚡


Our Annual General Meeting will be held on Thursday the 21st of September (Week 9) from 5-7PM.

Join us in the ECSE common room (Room 111, Building 35, 16 Alliance Lane) or on Zoom (details to be provided).


Come along to discuss and reflect on SMEE’s activities in the past year, get dinner 🍕 with friends old and new, and usher in the new 2023-24 SMEE committee!

If you would like to suggest another topic for discussion, please respond to this email to let us know.


Attendance by Proxy

If you are unable to attend the meeting yourself, you are able to appoint a proxy to attend and vote on your behalf.

You may direct them on how to use your votes, or allow them to vote as they see fit.

This would help ensure that the meeting is able to go ahead and that your interests are represented in the proceedings.


You may appoint a member of the current committee to be your proxy if you feel they would best represent you.

Please see below for a list of current committee members and an example proxy appointment.


If you would like to attend by proxy, or ask any questions about the process, please respond to this email.

Note that a member may act as proxy for no more than two other members.


Elections

We will be completely vacating the committee and holding elections for positions on the 2023-24 committee. If you came along to any of our events in the past year, or came into contact with us in some other way, we’d love for you to carry on the torch and contribute to making SMEE a warm and welcoming space for all students coming into the ECSE department.


Elections will be held for the following positions (further details about each can be found in the position descriptions document):

  • President

  • Vice President

  • Treasurer

  • Secretary

  • Careers and Sponsorship Representative

  • Events Manager

  • Fourth Year Representative

  • Third Year Representative

  • Post-Graduate Representative

  • Marketing Manager


Please submit a nomination form if you are interested in contributing to SMEE in any of these roles. Roles which have not received any prior nominations will be opened up to the floor during the meeting.


The returning officer for the elections will be a member of the C&S Executive.

We will make another announcement specifying who it will be but, for the present, please direct any questions about the election process to enquiries@monashclubs.org


Please note that you must be a SMEE member for seven days or longer in order to be elected or vote in the elections. Members must have joined by 14/09/2023 to be considered.
